Mutliseat contracts can be created either through the checkout by the end user or directly in the portal. The benefit of adding it manually to the portal is that it allows full customization of price, seat numbers and other invoice and customer information.
Create a new contract
To create a new manual multiseat contract, use the "Create contact" button at the top of your contract list. This can be accessed through the menu under "Customers -> Contracts".
Picking a product
The first selection required for creating a new multiseat contract is to pick the product the contract is for. All mutliseat contracts should be created with the product types listed under "License", you can select it from the dropdown list in the product picker.
Setting up the contract
The contract setup is divided into multiple sections, Each section and its settings are documented below.
Pricing details
This section contains all the pricing and seat information for your multiseat. If the view does not look like the image above, please check that you selected a "Lease" product.
Setting up contracts with custom pricing or custom number of seats
The default behaviour when calculating the price of a contract is to take the quantity (number of seats) x standard unit price per seat.
If you want to change the price in order to give the customer a custom price you have a few options.
You can use quantity to define the number of seats the user should have and specify a custom "unit price" that should be charged per seat. This is useful for smaller contracts where the price still relates to the seat count.
You can specify quantity as 1 and use the override feature to set the seat number to for example 1000. This is useful if the customer should have a lot of seats and the price is already decided as a set amount, not based on the seat number.
This allows you to set any number of seats you want and then use force price to set the total cost of the contract as a set amount.
This is because the contract price will always be calculated as (quantity x unit price).

Field name | Description |
Quantity | This field is the number of seats to assign to the contract. This will be used to calculate the price per unit or seat. |
Override | If you check this box, it will allow you to manually specify the number of seats without changing the quantity of the contract. This is useful when using custom pricing (See below) |
Force unit price | This checkbox allows you to override the price for the contract. This is used when the customer should have another price than the current list price per seat. |
Unit Price | This is the price that will be charged to the customer per seat. |
Vat included in price | Check this box if you are setting the unit price including VAT. |
Discount code | Select if any existing discount codes should be applied to this contract on creation. |
User details
This section is where you define all the details regarding the customer buying the new contract. The user you provide here will also be the administrator of this multiseat and will be able to add and remove people from their assigned seat list.
Payment details
This section allows you to add extra information that will be used when invoicing the customer.
Invoice reference will be added as text on the invoice and can be the seller at your company's name for example.
Vendor reference will be added as text on the invoice and can be the person or department at the customers' company that made the purchase.
Invoice email allows you to specify a specific email where the pdf invoice will be sent if this one is different from the admin user's email. We will default to the user email in case this is left empty.
EDI number This field should be filled out if you want to deliver the invoice using EDI / EHF.
Any of these fields can be left empty.
Review contract
Once the form is fully filled out, click on "Review contract" at the bottom of the form. This will show an overview of the contract that will be created.
Please read through it carefully and make sure all details and the price is what you expect.
The invoice will be sent as soon as you create the contract.
