To ensure your documents are processed quickly, printed accurately, and delivered successfully through our postal mail service, please follow these preparation guidelines when creating your PDF files. Correct formatting helps avoid delays, extra costs, and ensures the recipient address and payment information appear correctly.
How it works
You design and supply the complete PDF — including your logo, return address, body content, and any imagery. We then stamp two elements directly on top of your design before printing:
The recipient address, in the top-right of the first page (visible through the envelope window).
A payment block at the bottom of the first page — either a Swedish Bankgiro slip, a Norwegian KID/invoice block, or nothing at all if your sendout doesn't require payment.
Because we print these on top of your file, you must keep those areas of the page clear. Everything else on the page is yours to design as you wish, as long as you respect the safety margins below.
Key requirements
1. Page size: A4
All documents must be A4 (210 × 297 mm / 595.28 × 841.89 pt). Our printing and enveloping process is optimized for A4 and the recipient address must align with the standard envelope window.
In Adobe InDesign, Affinity Publisher, Illustrator, etc., verify the document size is set to A4 before you start designing.
2. Print-ready PDF with fonts embedded
Export your final document as a print-ready PDF with all fonts embedded. This is sometimes called a "flattened" PDF — it's self-contained and doesn't rely on external resources.
Embed fonts — the most critical step. In InDesign/Illustrator, use a preset such as PDF/X-1a, PDF/X-4, or High Quality Print. In Affinity Publisher, use a PDF/X preset and confirm Embed fonts is enabled.
Flatten transparency if your document contains transparency effects (drop shadows, gradients with opacity) — especially when exporting to older standards like PDF/X-1a.
Avoid "Minimum Size" or "Screen Quality" presets unless you've confirmed they still embed fonts.
3. Content placement and clear zones (use our template!)
We will stamp the recipient address and (optionally) a payment block directly onto your PDF. You must leave these zones clear, and your own content must respect the margins shown in the template.

The zones we stamp on top of your PDF (all measurements approximate):

You also need to keep clear:
The return-address window in the top-left — place your complete return address (and optionally your logo) within the indicated zone so it aligns with the envelope window.
The optical-mark zones along the left edge — datamatrix code, gate marks, and synchronisation marks. The template shows these in orange.
Standard print margins of at least 6 mm on all edges.
A note on Sweden vs. Norway: the recipient-address stamp is identical in both countries. The bottom block differs — Sweden uses a full-height Bankgiro slip (Sulkysport / Populär Arkeologi style), Norway uses a thinner KID-based invoice block (Vestavind style). Make sure you keep enough room at the bottom of the page for whichever applies to your sendout.
Sample PDFs
We provide four sample PDFs (attached below) so you can see exactly what you should supply and what the final stamped page looks like:
sample-SE-template.pdf — A4 with a lined background marking the area you can design, and clear/marked zones where we stamp.
sample-SE-filled.pdf — a complete Swedish sample design with the stamped areas outlined and labeled.
sample-NO-template.pdf — same as above, but with the thinner KID/invoice block at the bottom.
sample-NO-filled.pdf — a complete Norwegian sample with the stamped areas outlined and labeled.
Summary checklist
Before sending us your PDF:
Page size is A4 (210 × 297 mm).
All fonts are embedded (or subsetted).
Your return address (and logo) is placed in the top-left zone shown in the template.
The top-right recipient address zone is empty — we will stamp it.
The bottom payment block zone is empty (Bankgiro for Sweden, KID for Norway) — we will stamp it. If your sendout has no payment block, you can use that area, but still respect the bottom margin.
The optical-mark zones on the left edge are clear of text and images.
You have stayed within the page margins shown in the template.
